This Privacy Policy explains what information we collect, why we collect it, how we use it, and the choices you have.
By using our website (the "Site") or contacting us through the channels listed here, you agree to the practices described in this policy. If you do not agree, please do not use the Site or share your information with us.

3. Information we collect
We collect information in the following ways:
a) Information you give us directly
- Appointment requests: when you use the "Book this service" form on our Site, we ask for your full name, phone number, and preferred appointment date and time.
- Direct contact: if you call, WhatsApp, or email us, we may collect your name, phone number, email address, and the content of your message, including any health-related details you choose to share (for example, symptoms or reasons for your visit).
- In-clinic visits: if you visit either of our units, we may collect additional information as part of your consultation and medical record, in line with standard optometry practice. This in-person clinical information is kept in our physical/clinic records and is separate from the limited booking details submitted through the Site.
b) Information collected automatically
- Basic technical information such as browser type, device type, and general usage patterns, which may be collected by hosting or analytics tools if enabled on the Site.
- Location-approximate information if you interact with the embedded Google Maps on our Locations section.
4. How we use your information
We use the information we collect to:
- Schedule, confirm, and manage your appointment requests;
- Respond to your questions, calls, and messages;
- Provide eye care services, including contact lens fitting, glasses prescriptions, cataract, glaucoma, retina, paediatric, and low vision care;
- Maintain accurate clinic and patient records for continuity of care across both our units;
- Improve our Site and services; and
- Comply with applicable legal and regulatory obligations.
We do not use your personal information for automated decision-making or profiling that produces legal or similarly significant effects on you.
5. Booking appointments via WhatsApp
When you submit the appointment booking form on our Site, your name, phone number, selected service, and preferred date and time are formatted into a message and opened in WhatsApp for you to review and send to our clinic's WhatsApp number.
Important: the Site itself does not store, transmit, or have access to this information on any server — the message is only sent if and when you personally tap "send" inside WhatsApp. Once sent, the message is delivered to and stored on our clinic's WhatsApp account, and its handling is also subject to WhatsApp's own Privacy Policy, as WhatsApp is operated by Meta Platforms, Inc.
6. Third-party services
Our Site uses the following third-party services, each governed by its own privacy policy:
| Service | Purpose |
|---|---|
| WhatsApp (Meta Platforms, Inc.) | Sending appointment requests and general messaging |
| Google Maps | Displaying our clinic locations and providing directions |
| Google Fonts | Loading typefaces used on the Site |
These providers may collect information such as IP address or device data directly when their embedded content loads, under their own privacy terms, independent of this policy.
7. How we share information
We do not sell, rent, or trade your personal information. We may share information only in the following limited circumstances:
- With our clinical staff and optometrists (Deepak Kumar and Nabanita Bhattacharjee) at either unit, as needed to provide your care;
- With service providers who help us operate the Site or communicate with patients (for example, WhatsApp/Meta, as described above), only to the extent necessary for that purpose;
- If required by law, regulation, court order, or to protect the rights, property, or safety of the Clinic, our patients, or others; or
- With your explicit consent, for any other purpose.
8. Data retention
We retain appointment and contact information for as long as necessary to fulfil the purposes described in this policy, including maintaining continuity of care and meeting applicable medical record-keeping and legal requirements. You may ask us to delete non-clinical contact information we hold about you at any time; see Section 10 below.
9. Data security
We take reasonable administrative and physical measures to protect the information we hold, including restricting access to patient records to authorised clinic staff. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security, particularly for information sent over third-party platforms such as WhatsApp.
10. Your choices and rights
Depending on applicable law, you may have the right to:
- Ask us what personal information we hold about you;
- Request correction of inaccurate information;
- Request deletion of your information, subject to our legal and clinical record-keeping obligations;
- Withdraw consent for future communications, such as appointment reminders sent via phone or WhatsApp; and
- Object to certain uses of your information.
To exercise any of these rights, contact us using the details in Section 14. We will respond within a reasonable timeframe.
11. Children's privacy
We provide paediatric eye examinations, which necessarily involve collecting information about children as part of clinical care provided in person at our units. Information submitted through the Site's online booking form (name, phone number, appointment time) should only be submitted by a parent or guardian on behalf of a child. We do not knowingly collect personal information from children through the Site itself outside of this booking context.
12. Cookies
Our Site does not use cookies to store personal booking data — appointment details you enter are only used locally in your browser to build the WhatsApp message described in Section 5, and are not saved by the Site. Third-party embeds (such as Google Maps or Google Fonts) may set their own cookies or use similar technologies as governed by their respective privacy policies.
13. Changes to this policy
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal or operational reasons. The "Last updated" date at the top of this page indicates when this policy was last revised. We encourage you to review this page periodically.
